New Client Information

From your first inquiry to your first session

  1. CONFIRM YOUR APPOINTMENT

Visit Book a Session to book online. New clients can register and verify their email in the secure portal, then choose Book an Appointment. If you need help, contact the team. Review your preferred therapist’s client population, languages and format, then confirm the service, fee, time and joining instructions with the practice.

  1. USE YOUR SECURE CLIENT PORTAL

Log in to the Zanda Client Portal to view your appointments, access invoices and receipts, and complete forms when requested. New clients are welcome to register; an existing client account is not required to get started.

  1. COMPLETE INTAKE FORMS

Complete requested forms before the first session when possible. Forms may include contact information, consent, privacy information and questions that help your therapist understand the reason for seeking support.

  1. PREPARE FOR THE FIRST SESSION

You do not need to prepare a perfect explanation. Consider what has been most difficult, what you hope could change and any practical questions you want answered. See Preparing for Your First Session.

  1. JOIN YOUR APPOINTMENT

For virtual therapy, use a private location in Ontario, test your internet and audio, and join through the secure appointment instructions. Do not attend while driving. Read Virtual Therapy Information for connection and troubleshooting guidance.

PAYMENT AND RECEIPTS

Review Fees & Insurance before confirming your appointment. Payment details are provided through practice documents or the secure portal. Receipts are issued for eligible reimbursement.

INSURANCE

Confirm Registered Psychotherapist coverage directly with your insurer. Coverage varies by plan and reimbursement cannot be guaranteed.

CANCELLATIONS AND ADMINISTRATIVE CHANGES

Review the current cancellation policy in your booking documents. Use the secure portal or administrative contact method for appointment changes.

PRIVACY

Do not submit detailed sensitive health information through the general website contact form. Clinical information belongs in secure forms and conversations with your therapist.

URGENT SUPPORT

Calm Mind Therapy is not an emergency service. If there is immediate danger, call 911 or go to the nearest emergency department. See Crisis & Urgent Support for additional options.
